This policy covers visitors to our website and people who contact us about our services. The processing of documents and information for an ongoing client matter requires additional privacy information relevant to that service.

Personal information means information that identifies you, or can be used to identify you, such as your name, email address or telephone number.

Information we collect

We collect information directly from you when you submit a website form or contact us by email, telephone or WhatsApp. This includes your name, email address, any telephone number you supply, the details of your enquiry and subsequent correspondence. Website contact-form enquiries are delivered to our email inbox.

Please provide only the information needed to explain your initial enquiry. Please do not submit passports, medical records, criminal-record certificates, financial documents or other sensitive case documents through the general enquiry form. We will discuss the documents and appropriate submission arrangements relevant to your case separately.

We also collect technical information automatically when you browse our website, to deliver its pages and support its operation and security. This includes your IP address and information about your browser and requests to the website.

With your consent, Google Analytics processes information about how you use the website, including pages viewed, interactions, online identifiers and browser/device characteristics. See our Cookie Policy for further details.

Providing enquiry information is voluntary. If you do not provide sufficient information or contact details, we may be unable to respond or take the steps you request.

We do not currently send newsletters or promotional email campaigns. Sending an enquiry does not subscribe you to marketing.

Access and disclosure

Authorised members of the Rideo Group team can review enquiries to assess requests, respond and arrange follow-up. Access is limited to these work-related purposes. Team members must handle enquiry information confidentially and must not use or disclose it for unrelated purposes.

Our website hosting, business email, maintenance and IT service providers process information as necessary to support these services. Google processes information through Google Analytics when you consent to analytics.

Information is also disclosed to professional advisers where necessary for advice or legal claims, and to authorities where required by law. Access and disclosure are limited to what is needed for the relevant purpose.

Google Maps, WhatsApp and external links

Our website includes Google Maps and a way to contact us through WhatsApp. These services involve processing by their providers, in addition to our handling of your enquiry.

Optional embedded content that requires consent is activated only after the relevant consent. You can contact us by email or telephone without enabling optional embedded content.

For the providers’ own privacy information, see:

External websites and services operate under their own privacy policies.

International transfers

Our website hosting provider is HOSTING.XYZ LTD, a Cyprus company. Our principal website server is located in Germany, and our business email is hosted in the European Union. These locations do not by themselves establish where all backup copies are stored or where technical support access takes place. We are obtaining confirmation of the backup locations, any access from outside the European Economic Area, and the relevant transfer arrangements. The provider’s general privacy policy allows processing in several countries, but does not establish the arrangements for our particular hosting account.

Google Analytics and other external services are also relevant to international processing. We are verifying the transfer arrangements applicable to the services used by this website and will update this section with the relevant safeguards once confirmed. Please contact info@rideogroup.com with questions about international processing or to request information about the applicable safeguards.

Retention

We delete enquiries that are irrelevant to our services when they are identified as such.

For relevant enquiries that do not become client matters, we retain correspondence for up to 12 months after the last meaningful communication, then review and delete it. We retain specific records for longer only where required by an applicable legal obligation or where necessary to establish, exercise or defend a legal claim. Any exception is documented and limited to the relevant requirement or claim. A possibility that someone might become a client in the future is not, by itself, a reason to extend this period.

If an enquiry becomes a client matter, the relevant correspondence forms part of the client file. Retention is then determined by the nature of the service, applicable legal obligations and the need to establish, exercise or defend legal claims, as explained in the privacy information for that service.

Technical and security records are retained for the period needed to operate the service, investigate incidents and resolve faults. Consent evidence is retained for the period needed to demonstrate and respect the relevant choices. These periods are assessed by reference to the purpose of the record, any applicable legal obligations and whether an unresolved issue requires its preservation.

Deleted information can remain in backup or recovery systems until it is overwritten or removed under the relevant provider’s retention cycle. Such copies are not used for routine enquiry follow-up.

Google Analytics retention settings and cookie lifetimes are described in the Cookie Policy.

Protecting information

We take appropriate technical and organisational measures to protect personal information, including restricting access to authorised people and service providers. No online transmission or storage method is completely secure.

Your rights

Subject to applicable legal conditions and exceptions, you can:

  • Request access to your personal information, including a copy and information about how we use it.
  • Ask us to correct inaccurate personal information or complete information that is incomplete.
  • Request deletion of your personal information where the legal conditions are met, or restriction of its use—for example, while we check disputed accuracy.
  • Request eligible information you provided to us in a structured, commonly used, machine-readable format, and its transfer to another organisation where technically feasible. This right applies to automated processing based on consent or a contract.
  • Object, on grounds relating to your particular situation, to processing based on legitimate interests.
  • Withdraw consent at any time where processing relies on consent.

Withdrawal does not affect the lawfulness of processing before withdrawal. Use Cookie Settings on our website to change optional cookie choices.

To exercise your rights, email info@rideogroup.com. We may ask for proportionate information to verify your identity. We normally respond within one month. If a lawful extension is necessary because of complexity or the number of requests, we will explain this within the first month. Requests are normally free of charge, subject to statutory exceptions.

You can complain to the Office of the Commissioner for Personal Data Protection in Cyprus, or another competent supervisory authority, including where you habitually live or work. You do not need to contact us first to exercise that right.
